An invoice is defined as an itemized list of goods, specified according to their individual price. It is like a bill (but hold tight, because it\u2019s not quite a bill).<\/p>\n\n\n\n<p class=\"has-very-light-gray-background-color has-text-color has-background\" style=\"color:#000000\">Invoices, also referred to as sales invoices, are sent by a business owner to a customer who received their product or service. Additionally, a business owner will receive an invoice from a vendor partner for services provided to the business.&nbsp;&nbsp;<\/p>\n\n\n\n<p>Ultimately, it is a document that records a transaction between a buyer and a seller. When an invoice is created, it establishes an account receivable, or an obligation for a customer to pay a business. For a customer, it creates an account payable, or an obligation to pay the business for their services.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Why_Should_Your_Business_Care_About_Invoice_Payments\"><\/span><strong>Why Should Your Business Care About Invoice Payments?<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p>Invoices are vital to your small business for the following reasons:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Inventory control<\/li>\n\n\n\n<li>Accounting<\/li>\n\n\n\n<li>Accurately&nbsp;<a href=\"https:\/\/www.northone.com\/blog\/taxes\/filing-business-taxes\/\">filing business taxes<\/a><\/li>\n<\/ul>\n\n\n\n<p>For accounting, invoices are used to keep track of sales and how many sales successfully received payment and how many are still outstanding. While it\u2019s understandable, as the lines blur between an invoice and say, a bill, don\u2019t fall into the trap. Clearly understand what it is and isn\u2019t.&nbsp;&nbsp;<\/p>\n\n\n\n<p>n invoice is not the following financial forms:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>A bill:&nbsp;<\/strong>This is sent to collect immediate payment. An invoice is used to document that the transaction occurred and, should it be the case, collect future payment.<\/li>\n\n\n\n<li><strong>A purchase order:<\/strong>&nbsp;This is what you\u2019d send to your vendor when you need more cups and lids for your local coffee shop, for example. An invoice is sent after the service or product has already been received.<\/li>\n\n\n\n<li><strong>A receipt:<\/strong>&nbsp;Invoices come before the receipt. The receipt is what you\u2019ll send to your customer after they\u2019ve paid. This is to acknowledge that the order\u2019s entire life cycle, from initial order to payment, was completed.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"How_to_Create_an_Invoice\"><\/span><strong>How to Create an Invoice&nbsp;<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p>When you go to create an invoice for your customer, be sure to cover all the bases. Each that you create and send must have the following:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The date, both of when you issued the invoice and when they must pay you by<\/li>\n\n\n\n<li>Contact information for both you and your customer<\/li>\n\n\n\n<li>Product or services you are charging your customer for<\/li>\n\n\n\n<li>Price of the product or service<\/li>\n\n\n\n<li>Terms of payment<\/li>\n\n\n\n<li>Invoice number<\/li>\n<\/ul>\n\n\n\n<p>Note: when detailing the product or service that your customer is being charged for, you must enter each item on a separate line with its individual price. Then, at the bottom of the invoice, you\u2019ll be able to add up the total amount due for all outstanding services and products. Doing this will help your customer understand what\u2019s expected of them.<\/p>\n\n\n\n<p>The terms of payment refer to the amount of time your customer has to fulfill the payment.&nbsp; Most commonly, you\u2019ll see something like \u201cNet 14\u201d or \u201cNet 30\u201d noted on the invoice. This means that the client has 14 or 30 days from when the invoice was issued to pay. For the sake of&nbsp;<a href=\"https:\/\/www.northone.com\/blog\/financial-management\/what-is-cash-flow\/\">your small business\u2019s cash flow<\/a>, you\u2019ll want to aim to get paid as quickly as possible, so shoot for shorter payment terms if possible.&nbsp;<\/p>\n\n\n\n<p>The invoice number is a unique number that helps you, the business owner, stay organized. These numbers will help you and your accountant keep track of your sales over the course of your time operating.
